AI Receptionist for Australian Small Businesses: Stop Missing Calls (Without Hiring a Full-Time Receptionist)

A plain-English guide to how an AI receptionist works, what it costs in Australia, and how to try a live demo in under a minute.

TL;DR (for the busy small business owner)

An AI receptionist (also called an AI phone answering service) answers your business calls in seconds, asks the caller a few key questions, and then sends you a clear message brief (usually by email). It’s not a human receptionist — and that’s the point: you stop missing calls when you’re driving, on the tools, in a meeting, or after hours.

Missed calls cost more than most small businesses realise

If your phone rings while you’re:

  • up a ladder
  • in a client meeting
  • on a job site with gloves on
  • driving between appointments
  • putting the kids to bed

…you often can’t answer. And the caller usually doesn’t leave a voicemail.

For trades and service businesses, that’s not just an inconvenience — it’s a missed job, a delayed quote, or a customer who calls the next provider on Google.

An AI receptionist is a simple way to catch those calls without hiring a full-time receptionist.

What is an AI receptionist (in plain English)?

An AI receptionist is an automated phone answering system that:

  1. Answers your inbound calls quickly (including after hours if you want)
  2. Greets the caller and explains it’s an automated receptionist
  3. Asks the questions you care about (name, number, suburb, what the job is, urgency, preferred time to call back, etc.)
  4. Sends you a tidy message brief so you can respond when you’re free

Think of it as “a consistent intake process for phone leads”, not a replacement for a real conversation. You still decide what happens next.

What it does not do (unless you add it)

By default, an AI receptionist does not:

  • pretend to be human
  • negotiate, quote, or give advice
  • make promises to the caller
  • book jobs into your calendar (that’s an optional add-on)
  • write into your CRM/accounting software (optional add-on)

The core job is simple: answer, capture, and pass the baton back to you.

How an AI phone answering service works in practice

Here’s what the flow looks like for most Australian small businesses:

  1. Caller rings your existing number (you don’t need a new number)
  2. If you don’t answer, the AI receptionist picks up within seconds (you can also set it to auto-answer all calls by default)
  3. The caller hears a quick disclosure that it’s automated
  4. The receptionist asks a short set of questions (custom to your business)
  5. You receive an email message brief with the details

Example: what the email brief looks like

  • Caller name + number
  • Reason for calling / job details
  • Suburb / location
  • Urgency
  • Best time to call back
  • Any extra notes captured during the call

The result: you call back with context, not guesswork.

Why Peregrine’s approach is different (and why it matters)

There are lots of “AI” tools being thrown around right now. The difference is in the operational detail — especially around privacy and transparency.

1) It’s transparent to callers

The caller hears a spoken disclosure that they’re speaking with an automated receptionist. No pretending. No awkward surprises.

2) Privacy posture is agreed in writing (and kept practical)

We set privacy settings per deployment and agree them in writing (via a Privacy Configuration Statement). For our current AI receptionist deployments:

  • No call recordings by default
  • Transcripts are deleted after 14 days
  • Message briefs are retained for 12 months

(If your business needs different retention settings, we can configure it — the point is: you choose the defaults. We’ll also confirm what’s suitable for your industry during setup, especially for regulated fields like medical or legal.)

3) We run it ourselves

This is the same system that answers Peregrine’s own line. We’re not selling theory — we’re running a live, working setup and improving it based on real calls.

Pricing: what it costs in Australia (and who it suits)

If you’ve searched “AI receptionist Australia”, you’ve probably seen everything from cheap DIY apps to expensive call centres.

Our pricing is designed for small businesses that want a reliable, done-for-you system without lock-in.

Tier 1

  • $199 setup + $199/month
  • Includes 100 calls/month fair use
  • $0.50 per answered call over the fair-use allowance

Tier 2

  • $399 setup + $299/month
  • Includes 250 calls/month fair use
  • $0.40 per answered call over the fair-use allowance

Higher volumes

  • Bespoke (POA) for consistently higher call volumes

Month-to-month. No lock-in. Add-ons are priced separately (live transfer, booking, CRM write-back, SMS alerts, extra lines, multi-location, discovery).

Is it worth it?

For most service businesses, one recovered job can cover months of service. The bigger win is consistency: you stop bleeding leads quietly.

FAQs (quick, practical answers)

Does it replace a human receptionist?

No — and it shouldn’t try to. It answers quickly, captures structured details, and routes a clear brief to you. You (or your team) still does the human part: advising, quoting, booking, and building trust.

Can I keep my existing phone number?

Yes. In most cases, the system can work with your current number and routing rules.

What about fair-use limits and overages?

Each tier includes a fair-use call allowance (100 or 250 calls/month). If you exceed it, overage calls are charged at the per-call rate. If you’re consistently over, we’ll recommend moving to the better-fit tier (or a bespoke plan).

How fast can this be set up?

Often quickly — but “set up” isn’t the hard part. The value comes from tuning the questions, the message format, and where the brief goes so it fits how you actually run your day.

Can it do after hours call answering?

Yes. You can choose when it answers (after hours only, overflow only, or always-on).

Can it book appointments or transfer calls?

Yes — these are optional add-ons (booking, live transfer). We only recommend them if they genuinely reduce admin rather than create new edge cases.

Does it record calls?

By default, no call recordings. We can configure different settings if needed, but the default posture is: capture what you need, avoid collecting what you don’t.

Ready to stop missing calls?

If your phone leads are valuable, missed calls are expensive — and they’re happening quietly in the background.
